Billing, Cancellation, and Refund Policy

Trial terms and the rules intended to govern future paid Summit subscriptions.

Pricing is informational. Checkout will remain unavailable until legal, tax, technical, testing, and human approval gates are complete.

1. 30-day free trial

Each eligible organization receives one 30-day trial. No payment card is required, no charge occurs, and there is no automatic paid conversion. The trial starts at organization creation. Changing users or roles does not restart it. At expiry, the organization becomes read-only unless paid service begins.

2. Plans and prices

Available plan categories are Basic, Professional, and Enterprise. Current prices and plan limits are published on the Wayah Summit pricing page and are presented before purchase through checkout or an applicable order form. Prices exclude applicable taxes. Enterprise pricing, limits, and terms are negotiated separately.

The plan, price, billing cadence, and applicable limits accepted at checkout or in an order form govern the purchased subscription, subject to properly noticed future changes under this Policy.

Monthly plans are charged once each month. Annual plans are charged once for the full annual term at the start of each annual billing period; annual prices are not monthly installment plans.

There is no usage-based billing, overage charge, or automatic upgrade. At a limit, additional master-data creation is blocked and the customer is directed to upgrade or contact Wayah. Purchased limits will not be reduced during an active paid period.

3. Renewal and price changes

AUTOMATIC RENEWAL. Monthly subscriptions renew each month and annual subscriptions renew each year on the renewal date unless canceled before that date. Monthly price changes receive at least 30 days' advance notice and apply at a future renewal. Annual prices do not increase during an active annual term and may change only at a later annual renewal after proper notice. For an annual renewal, Wayah will send the billing contact a reminder 15 to 45 days before renewal, or earlier or more often when applicable law requires. The notice will clearly identify the renewal date and any changed price or material term.

4. Cancellation and refunds

Customers may cancel through the online account or subscription-management method made available at launch, or by contacting billing support. Cancellation will be reasonably simple and at least as easy as enrollment, and Wayah will promptly confirm it. Cancellation stops the next renewal and takes effect at the end of the current paid period. Paid access continues through that date; the organization then becomes read-only. Payments are non-refundable and no prorated refunds are provided, except for duplicate charges, billing or payment-processing errors, failure to provide a legally required renewal notice, or when applicable law requires a refund or credit.

5. Failed payments

Initial payment must succeed before paid access begins. A failed renewal receives a 14-day recovery period with normal paid access. If payment succeeds, service continues. If it remains unpaid after 14 days, the organization becomes read-only. Data is not deleted because of a payment failure.

6. Taxes and location

Wayah collects applicable sales and similar taxes where required. Stripe Tax calculates applicable tax from customer location and Wayah's active registrations. Customers must provide a complete billing address. Wayah and its CPA determine registration and nexus obligations.

Self-service checkout launches for US customers and requires a US business billing address. Card issuing country is not the sole location test. Organizations outside the United States require manual review.

7. Retention after subscription end

After a paid subscription ends, organizations retain read-only access for 12 months. Customer Data is retained for five years total and may move to archival storage after year one. Authorized administrators may request restoration or export during years two through five or request earlier deletion. After five years, Customer Data is deleted or irreversibly de-identified subject to legal and operational retention requirements. For a trial-only organization that does not begin paid service, read-only access lasts 30 days and Customer Data may be deleted or irreversibly de-identified 90 days after trial expiry following reasonable advance notice.

8. Acceptance before future checkout

Exact subscription prices and plan limits are commercial terms rather than fixed values embedded in the Terms of Service or this Policy. Before checkout opens and before billing information is collected, customers will be shown and required to affirmatively accept the selected plan, price, billing cadence, term, applicable limits, automatic renewal, cancellation method and timing, refund rule, taxes, and no-overage rule. The acknowledgment will not be preselected. Wayah will retain the accepted values, applicable Terms and Policy versions, UTC timestamp, and reasonable evidence of consent with the subscription record. Enterprise customers may accept these terms through a signed order form or Enterprise agreement. Checkout is not available today.

Stripe will process payment-card information. Wayah will not store full payment card numbers. Accepted card brands and supported payment methods will be identified before checkout launches.
